Day-of-Coordination

To make it clear what wedding coordination means: give everything you’ve got, run for your life and try to save the day of the bride and groom (of course, only necessary if the wedding wasn’t planned by ourselves) 😀. Basically you organize a person for the day of your wedding, who holds all the strings in his/her hands, is open to quick and (above all) flexible solutions and makes sure that everyone does what they need to do on this important day. The only thing that is actually always (almost) guaranteed is the bride and groom’s “Yes, I do” 😀

At least one month before your dream wedding every single detail should be reconfirmed, so all service providers know exactly when and where they have to be on your most important day. So please pay attention to every single supplier (or if you book our services we will take care of this part). In the Dominican Republic things work quite differently than they do at home. This starts with handing out to the decorator a precise timetable with the information about what time to start and what time to be ready. Don’t forget to add the local – obligatory – time buffer! And ends with the fact that you have to remind e.g. the cake delivery one day ahead of the wedding, when and where the cake has to be delivered. It might happen that your supplier forgot your order… This happened once with a florist from a wedding organized by the bride and groom themselves. -> Of course, this does not happen or count for our own service providers. We will book only professionals for your wedding. But there will always be that other supplier who charges “way less”…

This is one of the advantages with local wedding planners. We know the local service providers and know who offers the best price / performance ratio. Furthermore, we have worked many times with our providers and already are a well-rehearsed team.

Nevertheless, we – of course – can understand every bride and groom who think planning their wedding will be way more budget friendly. Honestly, as a Day of Coordinator, I can only advise everyone: if your thoughts are going into this direction: NO, please don’t!

In order to prove that this advice is only for your own protection, I’ll tell you some inside stories:

So, couple A thought the price of the wedding cake was too high, as they eventually discovered cakes in a local supermarket chain that were just as pretty and much more affordable. So, together with their inexpensive and handsome purchase, they were on their way to their wedding location. Mountain high over stick and stone. Anyone who knows this country, knows what that means. Once they reached the top, there wasn’t much left of the cake, because everything had collapsed due to the shaking. Even the day-of-coordinator (in this case: me) couldn’t make anything out of the leftovers. The cool thing: couple A took it so relaxed and the wedding cake disaster was the running gag of the whole day. Absolutely great guys!

Let’s go to couple B. Everything thought out a hundred times and quite proud to have (supposedly) thought of everything, the big party began. Everyone was thirsty, hungry and eager to party. Now the following happened: as you know, each waiter has two arms with one hand on each arm. According to physical laws, that’s enough for exactly 2 drinks. With a large, thirsty wedding party, not an easy task, because what couple B had completely forgotten, were the waiter trays. But no problem, that’s what we do on your big day, solve the problem. So we quickly drove to the rental store and organized some. he day-of-coordinator had then of course on the quick a solution ready and jets briefly to the rental to organize which. Again, a hooray to professional wedding planning 😊 Anyway, glad we could help.

Couple C were very happy to welcome children as their guests. Aren’t flower girls just cute? Something great to add to your walk down the aisle. So, when Couple C’s ceremony was about to start, we noticed that the flower baskets were missing. With a little delay and a day-of-coordinator, everything was solved soon with a Moto-Taxi and baskets on their way to the location.. Gracias a Dios. Fact: you can’t imagine how often the flower baskets are forgotten.. or on the other hand, the baskets are ready, but the pettals are missing..

Well, last but not least, I remember bride D, who had accidentally forgotten her bridal shoes. What a shock – with all the hustle and bustle that the bride and groom had gone through – totally understandable. The small family had to cancel their actually planned legal(!) wedding in Thailand, only one day before departure because of Corona (the baby 😯).. So they reorganized their wedding and booked new flights to DR (but that’s actually a whole other story). Now you might think that a beach wedding could be done without shoes. However, that does not always fit the dress. Furthermore there can be bushes and small branches sticking out the sand..  The beach ceremony is often followed by a reception – and to party at a nice location without shoes – doesn’t sound really funny. So you might just call your day-of-coordinator and ask for a solution. And within a minute we organized some nice white flip-flops, which actually fit perfectly with the upcoming beach wedding.

But we day-of-coordinators are not only there to solve or prevent problems on the big day. We are also the contact persons for your guests. No matter if aunt Sandy needs an aspirin or uncle Will has a burst seam on his butt, we are the pharmacy, the seamstress and the girl for everything. So that the bride and groom can simply enjoy their day without stress, according to the motto: be a guest at your own wedding.

And the moral of the story: the life of a wedding coordinator is ALWAYS interesting, often fun and never boring. And honestly, after a wedding day where we were able to settle minor and major problems without the bride and groom or the wedding party noticing anything, that’s where my heart goes out!!! 💖
